Access Restrictions
Access Restrictions allow limitation of user groups to access menus, folders, categories, or meta information, or to hide this from other users.
Actions
With Shelf, many actions can be performed with the content, such as downloading, uploading, sending, creating PDFs, registering to Favorites, and editing.
Address Book
Address Book is a function which automatically remembers recipient email addresses when sending content to third party non-registered users. This information is stored separately per user and is not shared.
Amana Library tab
If you are a Custom Service user, stock photos purchased are automatically stored under the amanaimages.com Menu in the Amana Library tab.
* To apply to use the Custom Service, additional Shelf site settings are required.
Archive
The name of the long-term storage service of shelf, which was developed to optimize the storage method of contents accumulated year by year and to allow storage without worrying about the capacity.
Archived Content
When the content is archived, it is classified as archived content and the archive flag is displayed. Archive content has different restrictions from regular library content, such as downloading and sending within a set capacity, and not copying, and copying is not available.
Automatically generate JPEG images
The system can automatically generate JPEG images from master content. Available JPEG Sizes are 1280, 1024, 800 pixels (lengthwise). This can be selected when sending or downloading.
*Other sizes can also be set in a separate option.
Cloud Storage Linkage
Automatic linkage of master contents stored in shelf to cloud storage services used individually by the customer. Sites using this function can set whether or not to link to cloud storage for each menu item on the shelf administrator menu, and the transition button to cloud storage will be available on the content menu page and the information page for the target contents. Clicking the button will move to the relevant content page of the cloud storage.
Codec
Codec is a type of software or algorithm used for compressing content files.
Color Mode
Color Mode is divided into RGB and CMYK.
Contact Sheet
Contact Sheet refers to a list of thumbnails from multiple content items with certain related meta information collected on a single page.
Content
Content refers to any files, such as still images, videos, documents, etc., and their meta information registered to Shelf.
Content ID
Content ID is the identification number assigned to each piece of content when it is registered to Shelf.
Create PDF
Create PDF creates a contact sheet of the content’s thumbnail images, and exports this as a PDF file.
Content Registration Requests
Through content registration requests, it is possible to allow non-Shelf third-party users to upload content. Third-party users will only be able to view the upload screen, and will not be able to see the contents of the site.
Download Capacity for Archive
This is the total amount of archived content that can be used. The data capacity is counted at the time of downloading or sending archived content, and once the limit is reached, no more archived content can be downloaded or sent. Capacity counts will be reset when the contract is renewed.
Download Request Settings
With download request settings, you can set whether or not an authorizer’s approval is required when downloading.
Favorites
Favorites allows users to create their own folder to save and organize often-used records. Created folders can be shared with other users.
Flags
Flags are icons automatically displayed by the system to notify of a content item’s registration status. There are basically five flags: Temp, Register, NEW, End, Unavail.
Archived content will be flagged as [Archive] on sites that are currently subscribed to the archive function.
Folders
Folders can be created by users to allow for easier organization of content. Folders are attached within menus, and up to three levels of folders can be set. Access restrictions can also be set per folder to control which users can view them.

Guidelines
Guidelines are site usage policies, rules, warnings, or other information that an organization wants to convey to their users. These can be updated as required, and different files for guidelines can be specified and uploaded for site administrators and standard users.
Library Content
Library Content is a collective term for the contents registered in the library menu. When library contents are archived, they are stored as archive contents.
Library Menus
Library Menus is a collective term for libraries found in the Library tab which can be freely added by the user. Access restrictions can be set for each menu, as well as limiting which users can view them. Different meta information items can also be set on a per-menu basis. Unless otherwise specified, the term “menus” refers to Library Menus (as menus can be named at the user’s discretion, name changes will be visible to other users.
Main Content
Main Content refers to the main content on an item’s details page, in order to differentiate this from sub-content. Content usually refers to main content.
Master Content
Master Content indicates the original data which has been registered. Master content exists for both main content and sub-content, and it is from master content that thumbnails and JPEG images are generated.
Master Download
Master Download allows you to download the master data only, as is without zipping the file.
Menus
Menus are the highest level where folders are stored. It also refers to the Library and Favorites menus within the Library tab, or the amanaimages.com or Amana menus within the Amana Library tab. Additional Library menus can be freely set by the user, with a total of up to four levels including these folders themselves.
Meta Information
Meta Information is the text information attached to a piece of content. Depending on the circumstance this may be generated automatically by the system, or input manually by a user.
Meta Information List/Meta List
Meta Information List is an export of the text information (meta information) attached to a piece of content in txt format. You can export the list from the bottom of Menu Page.
Original ID
A feature that allows users to log in using a character string other than their e-mail address as their ID. Additional subscription is required.
Owner
Owner refers to the user who created a favorites folder which has been shared; folders you have created are categorized as owned folders, while those created by other users are non-owned folders. Owned folders will display an Owner icon.
Preview
Preview is the larger image than the thumbnail, which is displayed on the content information page. Video can be playable. Also, enlarged preview enable you to play video and check the document by Page Display. See <Automatic Thumbnail Generation Formats> for the contents to be generated.
Registration Managers
Registration Managers are a class of users prepared by default who have roles assigned which include the permission to register content. By default they can download content, send content, create PDFs, view content, use favorites, share favorites, manage folders, manage tags, edit meta information and set relations. However, as the Shelf service allows role names and their associated permissions to be changed by a Site Manager, this may change depending on the site.
Relations/Grouping
Relations/Grouping is a feature which allows you to connect multiple content items to a “key” content item. When a relation/grouping is set, you can go to the content item from the information page. You will choose either relation or grouping for each site, and the setting will be fixed by a system administrator.
Record
Record is the collective term given to the sub-content, meta information, and old version content attached to a main content item. When a record is deleted from a Library Menu’s information page, the main and sub-content, along with any old version content and meta information will all be deleted.
Roles
Roles determine which access permissions are set, and decide which actions users can take while using the site.
Send
Send allows you to send a password-protected download link to a non-Shelf user third party to download the specified content.
Search All
The feature that allows you to search for content across menus. It is also possible to specify the menu to be searched in each case. The basic search is based on meta information, and search from text in document data function can be optionally added. To use search all, an application is required.
Shared ID
On sites using a shared ID, a feature that allows multiple users to use a single e-mail address. Additional subscription is required.
Shelf Enterprise
Shelf Enterprise is the commercial-use, enterprise-oriented version of the Shelf service. All features are enabled, and commercial content management is supported. Fees are determined based on storage used and number of user IDs.
Site Managers
Site Managers are a class of users prepared by default who have all access permissions.
Standard Users
Standard Users are a class of users set by default which includes roles with the permission to download and send content. By default they can download and send content, create PDFs, view records, as well as use and share favorites. However, as the Shelf service allows role names and their associated permissions to be changed by a Site Manager, this may change depending on the site.
Sub-content
Sub-content is content which is connected to main content and can be managed within the same record. These can also be listed in search results alone only by directly searching for the content ID.
The sub-content area/Relation area
The area in which sub-content and related conctent are viewed. It is displayed in the right side of the Library menu’s details screen. Multiple areas can be created and categorized. In some sites, the entire area can be opened and closed by clicking <> button on the right side.
Tabs
“Library ” displaying the main menu for storing enterprise data, “Workspace” displaying menu for content production management, “amana Library” that allows automatically storing content purchased from the Custom Service page on amanaimages.com are available, and you can switch by clicking the name displayed in the menu area. Basically, the “Library” is displayed, and the “Workspace” and “amana Library” tabs will appear when you subscribe to each service.
Tags
Tags are a function to categorize records by applying labels with a short word or phrase to content, or refer to that word or phrase itself. Tags registered in Shelf are shared by all users.
Temp
In the library menu, when content is registered, it is temporarily registered and is not visible to other than the site administrator and content registrant. If you check the “Register” checkbox in the edit page, it will be opened to users.
The amanaimages.com Menu
The amanaimages.com Menu allows you to automatically store and smoothly manage content purchased from the Custom Service page, an enterprise-oriented solution to customize the amanaimages.com stock photo service.
The Menu Area
The Menu Area is the area where menu and folder titles are listed on the left side of the screen.
The sub-content area
The sub-content area is the area in which sub-content is displayed. It is displayed in the Library menu’s details screen. Multiple areas can be created and categorized.
Thumbnail
The small image displayed on the menu page, the content information page, or history, etc. to identify the content. Extensions that are not covered by thumbnail image generation will be displayed as icons or “no image”. Refer to <Automatic Thumbnail Generation Formats> for the contents to be generated.

The total amount of content that can be archived.

Version
When updating content, you can register new information to an existing content while still keeping the previous registration information (main content, sub-content, meta information, relations). The latest version will be displayed as the main version of the content, and old versions’ thumbnails can be clicked on to view images and meta information.
Workspace
Workspace is a sister service name of shelf, which enables efficient content production management with functions such as proofing and content status display.
