Editing Meta Information

Meta information attached to the content can be entered/edited as follows:

* For multilingual sites, the meta information accompanying the content can be displayed in different text for each language sites. For more details, please refer to Editing Meta Information on multilingual sites. Please refer to this section for basic screen operations.

 

  1. Select any one of the following methods to edit the meta information.
    • Drag and drop the content’s thumbnail onto the pencil iconicon in the upper right of the screen.

 

  • Select the thumbnail using the checkbox on the content menu page or click the checkbox in the upper right of the enlarged preview window, and then click the pencil iconicon in the upper right of the screen.

 

  • On the content’s information page, click either the pencil iconicon in the upper right of the screen, or Edit Record in the lower left.

 

  • Perform bulk revisions with the Import List function at the bottom of the menu page.**

 

  1. If multiple content items are selected, you will be prompted to select the method you want to use to edit them.
    • Edit Sequentially
      Meta information editing windows for each selected item will be displayed sequentially. Once editing of one is complete, click Save and Next, or move to the next item using the arrow mark in the upper right.
      * Any changes will be saved upon moving to the next page.
  • Bulk Edit
    The thumbnails of the selected content will be displayed, and the meta information for all updated at once.
    The selected meta information items will be applied to all of the selected content.
    * Only meta items selected with the checkbox on the left will be affected (when a meta item is edited the checkbox will be selected automatically).
    * When bulk editing, fields for meta items with different values for each record will be shown in grey.

 

 

  1. After editing the meta information,click Save and Close, or click Register to complete the process.

 

* The content of each meta item may differ between menus.
** Please see Importing/Exporting Lists for more information on the list upload feature.

Editing Meta Information on multilingual sites

 

For multilingual sites, the meta information accompanying the content can be displayed in different text for each language site.If you are using the automatic translation function and have ticked meta items for automatic translation, these items will be automatically translated upon entry and reflected on the other language site.
Please refer to this section as how to set this up differs depending on the meta information format.

 

The site administrator can check the meta format from Managing Menu.

[How to select content and edit meta data]

Please refer to Editing Meta Information for how to select content to be edited and basic button selection and operations on the meta editing screen.

 

 

How to set each meta format

[Data/Duration/Text (alphanumeric)]

For Date/Duration/Text (alphanumeric) format, the meta information will show the same date or alphanumeric text even if language is switched.
Meta item name (“label”) will be changed. To switch meta items (labels) on a site-by-site basis, set them from Managing Menus.

 

 

 

[Pulldown/Radio Button/Checkbox]

For Pulldown/Radio Button/Checkbox formats, you can set options in each language in Manage Menus beforehand. Consequently, when inputting / editing meta information, it will automatically switch to the language corresponding to the login site without setting up for each language.
Content selection and meta editing windows are operated in the same way as for monolingual sites.

 

 

 

[Text (single row)/Text (with line breaks)]

Text (single row) and text (with line breaks) format meta information are a type that allows users to freely input text when editing content, unlike metas that have prepared options such as pulldowns.
Operation procedures depend on cases such as when only text for specific languages needs to be changed, or when all languages need to be changed at once.

 

■Setting for Blank (not filled in) Meta Information

If you input text when meta information is not filled in, it will be copied and set to all languages site.
If a meta item is applicable for automatic translation, it will be automatically translated and reflected on the each language site.
Content selection and meta information editing proceed in the same way as for monolingual sites.

Example 1: If you log in to English site and input “Good morning” in a blank meta information field and register, the same will be copied to all the language.

Example 2: If it is applicable for automatic translation, it will be automatically translated and reflected on the each language site.

■ To change only specific language when meta information (text format) has already been input.

If you have already input meta information for each language site and need to change text only for specific languages site, please proceed as follows.

  1. Log in to the language site in which you want to change meta information.
  2. Select the content to be changed, modify meta information, and register.
    Then, only the site for that language will be reflected.
    *Content selection and meta information editing proceed in the same way as for monolingual sites.

 

Example: If you log in to English site and modify meta information as “Good morning”, the view will be changed in English site only.

*If you set the default meta item [Title] as applicable for automatic translation, please refer to here.

 

■ To change in bulk the existing input meta information (text) for all languages.

If you log in to any language site and modify meta information (text), only that language will be updated. If you want to change in bulk all languages simultaneously, please proceed as follows.

*If meta item is set as required, the registration cannot be executed with a blank field. In this case, you will need to log in to each language site and change it individually.

  1. Log in to any language site.
  2. Select the content to be changed, remove meta information (text), and register as blank.
  3. Then, input and register meta information (text) again,and all language sites will be changed uniformly.
    If meta item is applicable for automatic translation, it will be automatically translated from the new text and reflected on each language site.
    *Content selection and meta information editing proceed in the same way as for monolingual sites.

 

Example 1: If you log in to Japanese site, remove “おはよう” and register as blank. After that, register “こんにちは”.

Example 2: If it is applicable for automatic translation, it will be automatically translated and reflected on the each language site.

■ To delete existing input meta information (text).

When removing text already input in each language, select the content, remove the meta information (text) you need to delete, and then register.
Content selection and meta information editing proceed in the same way as for monolingual sites.

* Please note that you cannot leave blank only for specific language, but will be deleted for all language.
*If meta item is set as required, the registration cannot be executed with a blank field.

 

Example : If you log in to English site and remove “Good morning” from the meta information and register, the meta information will be removed for all languages.

■Editing Titles

When setting the default meta item [Title] for auto translation, please note that there are some differences in the specifications between this meta item and other text meta items.

 

  1. In case the title includes the same text as the file name
    If you enter and register different text in any of the language sites, it will be automatically translated and reflected on all language sites.
    *This is automatically changed without deleting the original string or saving it as a blank field.Example: When logging in to an English site and changing the title “123.jpg” which is the same as the file name to “Good morning”.

  1. In case of entering the same text as the file name in the title.
    The file name will be reflected on all language site.
    *This is automatically changed without deleting the original string or saving it as a blank field.
    Example: When logging in to the English site and changing the title “Good morning” to “123.jpg” which is the same as the file name.

*Except for changes from or to filename, the specifications are the same as for other text meta.

Example: If you log in to English site and modify meta information as “Good morning”, the view will be changed in English site only.

Changing Master Content

 

Master content refers to the actual data of the registered content, and can be changed by following the below procedure.
Use this when you wish to keep meta information or other information within the record, and change only the master content itself.

* When master content is changed, thumbnail, preview, enlarged preview and JPEGs used will also change accordingly.
* Only main content can be changed (sub-content is not supported).

 

  1. Select the content you want to change.
  2. Click Change Master Content in the lower part of the information page.
  3.  Check the notification which appears, and click OK to continue.
  4. Either drag and drop or copy and paste the content you want to register into the registration area which appears. Alternatively, you can select the content by clicking [Select File and Upload] button at the bottom of the registration area.
  1. The file name will be displayed in the contents registration area. If you want to change the file name of the data to be registered, click on the file name and rename it.
    *Registration from “Select File and Upload” does not support renaming.
    *In Windows, if the file name is too long or contains forbidden characters, it may cause an error when downloading. Please refer here for details.
  1. Click [Register].

 

* Users without the relevant permissions cannot perform this action. For more information please contact your site administrator.

Changing Preview Data

 

“Preview content” is the larger image than the thumbnail which is displayed on the content information page and with the preview button.

For preview content change, thumbnails, previews, enlarged previews, and JPEGs are regenerated together while keeping the master content to be downloaded.

*Only main content can be changed (sub-content is not supported).
*JPEGs will not be generated with formats which cannot support JPEG generation.

 

  1. Select the content you want to change.
  2. Click Change Preview Data in the lower part of the record’s information page.
  3. Check the notification which appears, and click OK to continue.
  4. Either drag and drop or copy and paste the content you want to register into the registration area which appears. Alternatively, you can select the content by clicking [Select File and Upload] button at the bottom of the registration area.

*Since the master file will not be renamed, the registered content file name will not be changed even if the rename is executed.

  1. Click [Register].

* Users without the relevant permissions cannot perform this action. For more information please contact your site administrator.

Changing Thumbnail

 

Thumbnail is the small image for identifying content which is displayed on menu page, content information page, history, etc.

For changing thumbnail, only thumbnail can be changed without any changes to master content, preview, or JPEGs to be downloaded.

*If you want to also change preview and JPEGs, please execute [Changing Preview Data].
*Please note that even if you change the thumbnail using the change thumbnail feature, the image displayed on the contact sheet in the PDF generation function will still be a preview.
*Only main content can be changed (sub-content is not supported).
*Files available for upload are still images (ai, eps, gif, jpeg, jpg, png, psd, tif, tiff).

 

  1. Select the content you want to change.
  2. Click Change thumbnail in the lower part of the record’s information page.
  3. Check the notification which appears, and click OK to continue.
  4. Either drag and drop or copy and paste the content you want to register into the registration area which appears.
    Alternatively, you can select the content by clicking [Select File and Upload] button at the bottom of the registration area.

*Since the master file will not be renamed, the registered content file name will not be changed even if the rename is executed.

  1. Click [Register].

* In order to use the Change thumbnail feature, please contact your Shelf sales representative or Amana systems administrator.

* Users without permissions to operate changing master content/changing preview images cannot perform this feature. For more information please contact your site administrator.
