Your password can be reissued on the login screen. Please click here for details.
In the case of using a shared ID, please note that the changed password should be shared to other users with same ID.

The user’s email address basically is registered as their ID.
In some rare cases, there are sites that use IDs other than email addresses. In this case, please contact site Manager.

To be shown, follow the steps as below by Site Administrator;
Click Administrator Menu from User Menu person icon in the upper right of the screen, and change to “Used” on the Password reissue function or change to “Used” with Password change function at Manage Site.

When I enter my email address to reissue my password, I get a message that “Failed to specify User”.

Shelf is case-sensitive for email addresses. Please make sure that the local-part of the email address (the string of characters before @) is the same as the registered email address.

e.g. For registered email address [Abc@…jp].

Do you have password expiration date? Can it be set up optionally?

The expiration date can be set by the site administrator for each site.
Click Administrator Menu from Usre Menu person icon in the upper right of the screen, and set Password valid for (days) at Manage site.

If your password has expired, you will be redirected to the password update screen when you log in. Then, please proceed with the process of setting a new password.

You can set a password that is two generations before.
However, you cannot continuously set the same password as the current and previous generation.

The content information does not switch language when Multi-Language Function is switched.

The language selection toggles between the title of each meta information and each choices of the pull-down, radio button and checkbox.
For meta item that fill in text (single row/with line breaks), the text will not be replaced unless the text is changed and registered on each language site. However, if you use the automatic translation function, those will be automatically translated and registered.

  • After changing the sort items on the list page, I checked the contents on the information page. After that, when I go back to the list page, the sort items are reverted to the state before the change.
  • If I change the sort items in the menu page and then move to another menu, the sort items are reset.
  • On the information page, the thumbnail display position of the main content is shifted to the bottom of the page.
  • I have changed the meta items displayed on the menu page from Manage Menus, but the change is not reflected in the list view.

 

 

After changing the sort items on the list page, I checked the contents on the information page. After that, when I go back to the list page, the sort items are reverted to the state before the change.

If the sort item is changed in the shelf, the setting will be retained.
However, if you use the browser’s back button (red frame) to go back to the list page, it will revert the site settings you made just before.
Therefore, even if you switch the sort item, it will revert to the settings before the change.
In order to retain your settings, we recommend that you return to the page using the “Return to List” button (blue frame) on the site.

If I change the sort items in the menu page and then move to another menu, the sort items are reset.

The sort items that will be kept are only the default meta items provided on shelf (Registered Date, Update Date, File name, Title, Downloaded Items, Access Period, Usage Period), and only if it is set as a sort item in the menu.
Please note that if any meta items are set on a site-specific basis, and if the default meta items are not set as sort items in the destination menu, the sort items will be reset.

On the information page, the thumbnail display position of the main content is shifted to the bottom of the page.

If you are using Chrome as your browser, it has been reported that the thumbnail display position may shift when the page is zoomed out.
Clickin the upper right corner of the browser, then find [Zoom] and try zooming to 100% to see if the problem is solved.

I have changed the meta items displayed on the menu page from Manage Menus, but the change is not reflected in the list view.

If you change the setting to show or hide meta items displayed at the bottom of thumbnail on the menu page in the meta settings of Manage menu, the change will be reflected only in the Thumbnails (big) and Thumbnails (small) display formats. Please note that the default settings for the list format will not be changed.

Yes, it is possible.
By a site administrator, please enter the duration specified in “Transfer Validity Period (Time) field” of Site Management at Administrator Menu from User Menu person icon in the upper right of the screen. The maximum time that can be set is 1,000,000 hours.

If Usage period have set the “Not used” in the “Site Information” section, you can register content without setting the usage period.

In order to hide the entry field of the usage period that is displayed when using contents such as download and send, you must also set the following settings.
Select “Hide” for Usage Period in Manage Input Fields of Manage Menus.

Is it possible to download sub-content in bulk?

Yes, it is possible.

  1. Select the main content to which the sub-content you want to download belongs.
  2. Check [sub-content bulk downloads] on the download window.
  3. When you select the data format and download it, in addition to the main contents, sub-content will also be downloaded in bulk.

*The limit on content which can be downloaded at one time includes the sub contents.
*The site administrator can set up bulk download of sub-content from Manage Input Fields.

Can I download meta information of sub-content in bulk?

Yes, it is possible.

  1. Select the main content to which the sub-content you want to download belongs.
  2. Check [sub-content bulk downloads] on the download window.
  3. You can extract the list by selecting [Meta List] as Data Format.

*The meta information of main content is also included in the list. If you do not need it, expand it in Excel, sort it and exclude it.
*The only information maintained by the sub-content is the unique content ID of shelf, title and file name, and the rest is information about the main content to which it belonged.
*The site administrator can set up bulk download of sub-content from Manage Input Fields.
* The site administrator can change the settings for using Meta List from Manage Site in Administrator Menu.

Up to 40 characters can be registered regardless of full-width or half-width characters.

How many characters are available in a file name? Are there any character strings that cannot be registered?

 

There are no restrictions on the number of characters in the registered file name, nor are there any forbidden characters.
However, in Windows, the file name is restricted to 259 characters including the path name, and the symbols ¥ / : * ? ”< > and| cannot be used.
If you register a file name that is too long or uses forbidden characters, the file name may be automatically shortened when downloading, or an error may occur if the zip cannot be decompressed.
If you receive an error, please avoid using forbidden characters, change the file name to a shorter one, and upload the file again.

There can be 100 meta items per menu. Also, the maximum number of choices (pull-down menus, radio buttons and checkboxes) that can be set in a meta item is 50, and the maximum number of characters string is 1000.

Up to 50 sub-content areas per menu and 30 characters in the title can be registered.

Is there an order of registration if I register multiple contents at a time?

The content will be registered in the order in which the registration is competed. Regardless of the order entered in the upload screen or the character order of the file name, they will be displayed in the area in the descending order they are registered in the system. Therefore, please note that the order of registration cannot be controlled if you register multiple contents at the same time.

An error occurs when importing the list to register in bulk. What are the possible causes?

Please check if any of the following reasons apply to the error items (line) in the registration list.

  • There are items that start with “0” in the meta information of a half-width (one-byte) character string, and the “0” disappears while working in Excel file.
    →Change to “text” in the format, or enter apostrophe ” ‘ ” before 0 and convert it to text.
  • The title, character string, or other itmes have exceeded the number of characters.
    →Please correct the number of characters.
  • There is no menu or folder to register, or the name of the list is incorrect.
    →Please create a menu or folder for registration in advance. Also, please enter the name correctly.
  • Required fields have not been filled in.
    →Please fill in the required items.
  • The pull-down/radio buttons are filling in non-existent options.
    →Please check the corresponding option and fill in the same word as the one registered.
  • Wrong character format.
    →Please check if there are any double-byte characters in the field with alphanumeric and half-width characters.
    *Please check the following to specify the text and required input.
    Meta Settings tab of the relevant menu in User Menu>Administrator Menu>Manage Menus

Is it possible to navigate pages in the preview of document file such as PDF or words?

You can see them in the enlarged preview. The document file that can be uploaded to the site can be previewed up to 30 pages.

Is it possible to temporarily hide published content while retaining the contents?

By manipulating the end date of access period, you can hide the content from all users except for the site administrator and the user who registered the content.
Please edit meta information of the content that you want to hide, change and set the access period to a past date.

Can I edit master data for old versions, preview data, meta information, sub-content or relations such as various related information?

Since information can be edited only for the current version, editing of old versions is basically impossible.

However, you can edit by deleting the current version and returning the version you want to edit to the state of the current version. After that, in order to return to the original state, the deleted content and accompanying meta information must be re-registered. Please note that you must keep the data.

If there are already registered content, they will all be set as “not require a download request “. Even if you check ” Require Request by Default”, the content registered up to that time will be set to “not required a download”.
This can be changed to require a download request from the edit page of each item of content.

When a user is registered, an alert appeas that says “The user being registered is already a Shelf service user. The existing password will be prioritized. Therefore, the password entered here will not be applied”. What does that mean?

The shelf service allows users to use multiple sites simultaneously, and the entire service has a common authentication infrastructure; a system that authenticates users by retaining the user’s information required for login, accordingly. Therefore, even if the user’s name is not currently in Manage Users List, the above alert will be shown because the user’s email address has registered in the past or are registered on another site.
In this case, please proceed with the registration. Then, please let him/her know that he/she should log in using the password registered in the past. If he/she has forgotten the registered password, the password can be reissued by him/herself by clicking on the [Reissue Password] at the bottom of the login page.

  • A menu/folder is displayed to users who belong to a group with Access Restrictions set.

 

 

 

A menu/folder is displayed to users who belong to a group with Access Restrictions set.

Please make sure to check the following two points.

  • Both Restrict Menu Access and Restrict Meta Access display menus/folders/meta items for the allowed groups. Please make sure that the checkbox for [Group] that you do not want to allow them to see is unchecked.
    However, [Restricted Items] in Restrict Meta Access hides meta items to the groups that are unchecked in Restrict Meta Access.
  • For the site administrator, all menus/forders are allowed to be shown, regardless of setting Access Restrictions. Please check the user’s role/user permissions.
